Registration for Graduate Programs

Once you are admitted to a program, you must register for courses and/or project or research credits, depending on the type of program and whether you study full-time or part-time. To be considered as a full-time student, you must register to 9 credits minimum.

  • For a master’s with thesis or a doctorate, you must register each and every sessions in continuity (fall, winter and summer) (see regulations for the duration of studies).
     
  • For a master’s with project or a DESS (Specialized Graduate Studies Diploma), you are allowed (beginning with the second session) not to be registered for a cumulative maximum of three sessions. However, not being active during a session does not extend the duration of your program of study; therefore, it is strongly recommended to register continuously as much as possible to avoid having to apply for an extension of the duration of your studies.

Registration

Registration must take place during the normal registration or modification of registration periods that are set out in the university calendar. Outside of these periods, the ChemiNot system will not permit registration (see Registration outside of deadlines below). ChemiNot (in French) automatically manages student eligibility for course credits and research credits.

Most graduate programs have course credits and research credits (project, thesis or dissertation):

DESS

  • Course credits (educational): 15, 24 ou 30
  • Other credits (project): 15, 6 ou 0
  • Total credits: 30

Master's with project

  • Course credits (educational): 30, 36 ou 39
  • Other credits (project): 15, 9 ou 6
  • Total credits: 45

Master's with thesis

  • Course credits (educational): 15
  • Research credits (thesis): 30
  • Total credits: 45

Doctorate

  • Course credits (educational): 15
  • Research credits (thesis): 75
  • Total credits: 90

Course credits

Courses that are displayed in ChemiNot are those for which you can register in your program and which are identified in the description of your program.

Courses not included in the program path

In a number of programs, it is possible, with the approval of the program director, to register for elective courses that do not appear in the list of program courses.

Remarks

  • When this opportunity exists, there is a note in the program description, usually after the list of elective courses, stating that the student can take “two undergraduate or graduate courses offered at ÉTS or other institutions”.
  • If it is an undergraduate course, the course level must be high enough; in the ÉTS course bank, these are 500 or higher (i.e. GTS501, ELE732).
  • The courses must be relevant to your research topic or your curriculum plan in the program.
  • For off-campus courses: They can be graduate or undergraduate courses.
  • Whether you opt for graduate or undergraduate courses, at ÉTS or elsewhere, you must not exceed the maximum of courses allowed (usually a maximum of two courses).

To register for elective courses that do not appear in your program’s list, the procedure may vary depending on whether the courses are offered at ÉTS or another institution:

Off-campus courses

Registration for off-campus courses is done through a system managed by the Bureau de la coopération interuniversitaire.

Courses offered at ÉTS

  • First, check to be sure your program offers the opportunity to study one or more courses that are not part of its curriculum plan.
  • Send a message to the agente de gestion des études (study management officer) in charge of your program and mention:
    • Your name and permanent code
    • Your program
    • The name of your project, thesis or dissertation Supervisor (if you have a Supervisor)
    • The abbreviation and title of the course you would like to take, along with its description (you can copy this information from the graduate or undergraduate course directory).
    • The reasons why you would like to take the course.
  • The officer at the Registrar’s Office will assess your request, and if it is receivable, forward it to your program director (with you in CC).
  • If your request is accepted by the program director, the study management officer at the Registrar’s Office will register you for the course (you will not be able to do it yourself through ChemiNot).

Research or project credits

  • Before you can register for research or project credits, you must first identify your topic and your research or project Supervisor (see details in the Guide to Graduate Studies that corresponds to your program type). Until you have completed this step, ChemiNot will refuse to register you for research credits.
    • However, this rule does not apply at the PhD, since you already have a research supervisor for your admission; you can register for research credits as early as the 1st term. The research subject identification form is submitted only during the 2nd term, during the DGA1031 exam.
  • As well, for DESS (Specialized Graduate Studies Diploma) and master’s degrees with project (six or 15 credits), we require you to pass a certain number of courses before you can register for project credits. Otherwise, Cheminot will block your registration for credits (see details in the Guide to Graduate Studies that corresponds to your program type).
  • Furthermore, if your research topic has specific ethical or environmental aspects, or involves controlled merchandise, you must submit your project to a compliance evaluation process before you can register. Depending on the type of research project (project, thesis or dissertation), Cheminot will limit your registration for research credits for as long as the compliance process remains incomplete.
  • For synthesis activities (such as internships and projects) with three credits (MTR891, STA802) or six credits (MTR892 or MGA902), there are no research credits. You must register for the activity directly (as you would for a normal course).
    • For six-credit activities, you have two sessions to turn in your report (an “R” will appear next to the activity at the end of the first session).
    • For three-credit activities, you must submit the report at the end of the session during which the activity took place.

Registration outside deadlines

ChemiNot only accepts registration transactions during the registration periods on the university calendar.

Under certain circumstances (primarily doctorate and master’s with thesis), you may need to register or modify your registration outside of regular registration periods (for example, when registering for research credits, MTR871 or DGA1005, or the doctoral examination). In such a case, you must contact the study management officer in charge of your program at the Registrar’s Office, who can register you manually. However, you cannot register for regular classes outside of regular registration periods.

Registration and duration of full-time studies

Master’s with thesis or doctorate:

  • To be considered a full-time student, you must be registered for at least nine credits (courses and/or research) each session. However:
    • A master’s degree has 45 credits, but its normal duration is six sessions; with nine credits per session, all credits have been accumulated after five sessions.
    • A doctorate has 90 credits, but its normal duration is 12 sessions; with nine credits per session, all credits have been accumulated after 10 sessions.
    • What may also happen is that you only have 3 to 6 credits left before reaching 45 or 90 credits and that you are not able to register to 9 credits per term.

How to maintain full-time status with less than 9 credits left, by registering to "ACTIVIT" or "REDACT" or during an extended session:

If you are a master’s student registering for your last session before you reach 45 credits, you will be considered as a full-time student if you register to less than 9 credits.

If you have accumulated 45 credits after five sessions, you will register for an activity in the sixth session titled “ACTIVIT” which has 0 credit. This activity means that you are writing your thesis. You can also ask for an extension if you do not complete your program on time (see Length of studies).

If you were registered full-time since beginning your program (with thesis), you will continue to be considered as full-time for the purposes of financial assistance for students, study bursaries or immigration purposes (student visa). This will still be the case if you have not finished after six sessions and apply for a one- or two-session extension*.

The same goes for doctoral students. If you are starting your last session before you reach 90 credits, you will be considered as a full-time student if you register to less than nine credits.

If you have accumulated 90 credits after 10 sessions, you will be able to register for an activity in the 11th and 12th sessions titled “REDACT” which has 0 credit. This activity means that you are writing your dissertation. You can also ask for an extension if you do not complete your program on time (see Length of studies).

If you were registered full-time since beginning your program, you will continue to be considered as full-time for the purposes of financial assistance for students, study bursaries or immigration purposes (student visa). This will still be the case if you have not finished after twelve sessions and apply for an extension* of one or more sessions.*

* IMPORTANT: If you have studied part time at any given time during your master’s with thesis or doctorate you will be considered a part-time student if you must register for less than 9 credits or for “ACTIVIT” or “REDACT” towards the end of your program, or if you get an extension.

Master's with project and DESS:

In a master’s with project (and DESS - Specialized Graduate Studies Diploma), you can also register for “ACTIVIT” (writing your project) once you have exhausted your 45 course or project credits (or 30 credits in a DESS). You can also ask for an extension if you do not complete your program on time (which varies depending on the type of program and whether you are a full-time or a part-time student: See Length of studies).

Full-time students (master’s with project and DESS):

Only master’s with project students who were admitted as full-time students will be considered full-time if they register for “ACTIVIT” within the duration of their program (six sessions).

In all other cases (part-time master’s, full-time or part-time DESS, full-time master’s with extension), you will be considered a part-time student as soon as you are registered for “ACTIVIT” or receive an extension.

Required GPA

If your GPA falls below 3.0 in a master’s program (with project or with thesis), you are advised by the Registrar’s Office that you must bring it back up to at least 3.0 in order to obtain your master’s degree.

If your GPA falls below 2.8 at the end of at least three graded credits, whether you are in a DESS, master’s with project or master’s with thesis program, you are considered on probation.

You are then advised by the Registrar’s Office that you must take measures to raise your GPA. You are invited to meet with the program Supervisor to determine a plan for improvement. The program supervisor may recommend limiting the number of courses per session or require that you take or re-take certain courses. If you are a DESS or master’s with project student whose GPA is lower than 2.8 after 21 graded credits, you will be expelled.

If you are a Master’s with thesis student whose GPA is lower than 2.8 after a second session on probation, whether or not it is consecutive, you will be expelled.

If your GPA is lower than 2.5 (calculated using a minimum of nine graded credits) you will be expelled, whether you are in a DESS, master’s with project or master’s with thesis program.
